Purpose of the Role

It is the role of the Enrolment Officer to ensure the smooth daily operations of the front office.  Working in a busy environment, you must ensure that all tasks are completed within set deadlines and with 100% accuracy.  Working within defined policies and procedures you are responsible for ensuring that all student records are up-to-date.  You will represent the image of the school to many visitors so a strong customer service focus is required.  All staff, parents, students and other visitors will be treated with dignity and respect.  Confidentiality of all records will be maintained at all times.

Duties and Responsibilities

  • Answering telephone enquiries and liaising with other departments to set up appointments as required
  • Answering enrolment enquiries and providing information including enrolment packs to prospective families
  • Controlling the flow of people in and out of the school using the Visitor Register and ensuring that all visitors have an appointment and take a visitors pass
  • Entering enrolment details into TASS and following up on any missing documentation for the files
  • Liaising with Coordinators to organise entrance exams for prospective students
  • Monitoring class sizes and ensuring that, where there is space, the waiting list is utilised to fill classes
  • Undertaking regular head counts, as per the policy, to ensure the accuracy of our records
  • Processing holiday forms – liaising with Accounts and Education
  • Communicating with other schools about transfer students
  • Completing transfer notes
  • Reports for Centrelink
  • Completing 6 monthly audits of student files to ensure everything is there
  • Other duties as direct by the Registrar/Business Manager from time-to-time

Key Selection Criteria

  • Excellent computer skills with a typing speed of at least 40 wpm
  • Proven ability to learn and use new databases, experience with TASS an advantage
  • Customer service skills with an ability to deal with difficult people
  • Exceptional attention to detail
  • Experience in data entry and letter writing
  • Good time management skills with the ability to take initiative when required

Key Performance Indicators

  • TASS enrolment details and hard copy files are up-to-date
  • Policies and procedure have been followed, especially in relation to enrolment
  • All correspondence is completed in a timely manner
  • Positive feedback from visitors to the office

Al-Taqwa College is currently looking for a happy go lucky, friendly couple to help us run our Camp site in Bairnsdale. We require you to clean our amenities, cleaning-up on a daily basis, lawn mowing and general maintenance of our cabins, kitchen and bathrooms.  The Camp requires regular watering, especially during the Summer.

The Cabins are equipped with 90 beds along with a recreation room, kitchen and study hall. We have students camping regularly, therefore you will be required to have a valid Working with Children Check.

We require you to be at the camp site Mondays to Fridays, however your willingness to stay on-site would be preferable.  If you are interested and living in Bairnsdale area, email your resume to rosman@wicv.net.  The salary is negotiable.

Our Organisation

Al-Taqwa College is a co-educational Foundation to Year 12 College with an Islamic environment, focused on creating care and life-long learning.

A position has become available for a part-time (0.4-0.6) Human Resources Administration Officer beginning Term 4, 2019.  There will be a high volume of HR work from now through to the end of the year, with the possibility of extension.

Roles and Responsibilities include:

  • Administering paperwork for large volume contract renewals (fixed-term and casual)
  • Maintaining casual staff engagement and compliance
  • Updating and maintaining organisational data
  • Follow up on routine HR requests from managers and staff
  • HR record keeping and document management
  • Work closely with other departments to ensure accuracy of the College HR information

The successful applicants will be expected to have:

  • HR administration experience in a large/school environment
  • High attention to detail
  • High professionalism and confidentiality
  • Excellent written and verbal communication skills
  • Ability to prioritise tasks and meet deadlines
